Case Study 1

As part of our ongoing commitment to improve and maintain our services, we have been working with a number of our client schools to help produce various case studies to enable us to better understand where we can make, and have made, improvements. 

In the interest of transparency, we would like to share the case studies with you. We welcome all feedback from our client schools and our staff and we do take our feedback very seriously. We strive to provide the best possible service for all of our teachers, support staff, nursery staff and client schools.

Here is one of our case studies:

 

What was the scope of works?

The Staff Room was initially tasked to provide day to day cover, short and long-term supply solutions to a much larger than average primary school. The primary school occupies 2 sites which are approximately 1 mile apart.

Did you encounter any challenges?
The client had daily un-planned requirements with, at times, no notice period.  A solution was required to ensure a readily available pool of teachers were available at short notice and within a 30-minute travel radius from the client site/s. The range of teaching ability needed to cover Reception, KS1 and KS2 aged children, providing only specialists to cover each age range.  A commitment was made, enabling a designated contact from each campus to call from 6.30am to speak directly with The Staff Room Agency Ltd account management team. Bookings were normally filled within 15 minutes with a teacher arriving at the school before 8.30am on the morning of the requested supply.

Further into the supply period, a provision for managed services was also introduced to meet the growing need for assistance with permanent recruitment. Utilising a variety of specialist recruitment methods, The Staff Room was able to provide the client school with pre-selected candidates to interview. Over the duration of the supply period, numerous permanent staff have been employed via The Staff Room managed services.

How did you check to see if you’d met the client’s objectives?
Initially, weekly review meetings were held with the client’s management team to ensure the contract was performing to expectations and that Key Performance Indicators (KPI’s) were being met.  After this “bedding in” period, review calls were made on a monthly basis to key members of the client management team to include the head teacher and school business manager.

What did you do on the job that no other service provider could have done?
We worked with the client to ensure the teacher feedback process was as in-depth and accurate as possible. The teacher feedback procedure was strengthened, ensuring all supply cover reported to the existing class teacher an accurate and detailed account of events during the school day via our teacher feedback form.  This had never been provided by any previous supplier or in fact is offered by any other agency in the area.

Were there any other concerns regarding the work?
There was a concern that due to the volume of requests one agency supplier may not be able to successfully meet the client’s requirements.  An agreement was made that a secondary agency could be used, if The Staff Room was unable to supply.  The 15-minute response time enabled our client school to call the secondary agency should The Staff Room be unable to fill a requirement.  The Staff Room achieved a non-fill rate of under 3% so the other agency was rarely called.

How did you measure the customer’s satisfaction?
A 6-month review meeting was arranged. Feedback from various stakeholders was very positive.  Our client school remarked “Extremely happy with the service and the standard of teachers, a big improvement on the quality received from previous suppliers.”

Did you learn anything from the job to improve your service?
The teacher feedback project, where feedback forms were introduced to help improve the communication between the covering teacher and the absent class teacher were so successful that this was rolled out to all Staff Room teachers and schools.
