As part of our ongoing commitment to improve and maintain our services, we have been working with a number of our client schools to help produce various case studies to enable us to better understand where we can make, and have made, improvements.

In the interest of transparency, we would like to share the case studies with you. We welcome all feedback from our client schools and our staff and we do take our feedback very seriously. We strive to provide the best possible service for all of our teachers, support staff, nursery staff and client schools.

Northamptonshire  2  Form  Intake Primary School

What was the scope of works?

To provide our client school with a supply teaching cover solution.  The client wanted an agency as the first point of call to meet a variety of supply requirements. Key requirements included: on the day requests, adhoc bookings and long-term to permanent vacancies. A range of teaching abilities was needed to cover Reception, KS1 and KS2 aged children, providing only specialists to cover each age range.

Did you encounter any challenges?
There is mounting pressure to find teaching staff who are available for long-term roles to meet the growing needs of our client schools.  We have introduced innovative methods to attract teachers for long-term roles, which includes the Text Alert Service. We found that current teachers may be interested in long-term work but may not always communicate this to our Account Management team.  The text alert service allows us to notify all staff immediately on receiving the details of a long-term or permanent vacancy. We initially trialled this scheme after receiving a long-term teaching vacancy from our client school. A text was sent out and within minutes three teachers responded.  Two were interviewed with one being offered and accepted the role.

How did you check to see if you’d met the client’s objectives?
Weekly contact with the clients key account management team and an annual meeting with the Head teacher. Feedback from the annual meeting reported that the overall performance was very good and that the quality of teachers supplied were consistently high. Overall the school was very satisfied with all elements of our service.

What did you do on the job that no other contractor could have done?
The Staff Room ‘out of hours’ call service has enabled us to respond to booking requests received during evenings and weekends. Because of the advanced notice, our booking fill rate has increased and enables our teachers to arrive early on site and allows them to be more prepared for the assignment.

Were there any other concerns regarding the work?
After regular review meetings it was identified that some teachers were leaving site too soon after the end of the school day.  It was agreed that no Staff Room teachers would leave site before 4pm. This policy was quickly rolled out to all teachers and all schools. Teachers and support staff must arrive no later than 8.15am (pre-booked) 8.30am (on the day) and leave no earlier than 4pm. This policy is very popular with our client schools and we are the only agency in the area to have a start and finish time policy.

How did you measure the customer’s satisfaction?
The Staff Room Account management team communicated on a weekly basis with the key contact at the school site to ensure the needs of the school were being met.  The feedback was always very positive, with emphasis on the general quality of staff and their commitment and enthusiasm shown during the assignment.

Did you learn anything from the job to improve your service?
The importance of ensuring continued communication between the teachers, support staff and the school.  There were minor issues regarding marking etc but these were addressed and rectified quickly without the need to escalate.
